Domestic Travel Coordinator

Responsible for arranging hotel blocks and securing motorcoaches for domestic tours

The Domestic Travel Coordinator plays a key role in supporting our Project Management team by arranging hotel blocks and securing motorcoaches for domestic tours. This position involves proactive and responsive communication with vendors to ensure all travel components are seamlessly organized, enhancing the overall tour experience. Responsibilities include managing reservations, coordinating timely payments, and handling modifications to ensure smooth travel logistics for upcoming trips.



Essential Duties & Responsibilities (in no particular order):

  • Coordinate hotel block arrangements and motorcoach reservations in alignment with trip logistics and client needs while adhering to Corporate Travel policies and procedures.

  • Establish and maintain professional, proactive communication with vendors to confirm bookings, negotiate terms, and address any modifications or special requests.

  • Monitor reservation deadlines, process payments, and ensure all financial obligations related to hotel and transportation vendors are met on time.

  • Accurately document and disseminate travel-related details to internal teams and clients, ensuring seamless coordination across departments.

  • Maintain up-to-date knowledge of domestic travel regulations, vendor policies, and industry best practices to ensure compliance and efficiency.

  • Assist in resolving any travel-related issues, including last-minute changes or unforeseen logistical challenges, to ensure a smooth experience for all stakeholders.

  • Participate in occasional site visits or familiarization trips to evaluate accommodations, transportation providers, and overall travel experiences.


Requirements:

  • Patience with vendors and peers and the ability to present calmly while under pressure

  • Aptitude for work in a high-paced office setting

  • Moderate skills in Microsoft Office Suite products

  • Ability to work part-time

  • Ability to travel for training purposes

  • Exceptional written and oral communication skills

  • Proficient in Microsoft Excel

  • Three years of customer service experience (Preferred)

  • High School Diploma or equivalent (Preferred)
